Good bookkeeping means understanding where your income came from, what Airbnb deducted, what you spent to operate the property, and whether the final bank deposit agrees with your records.
A simple monthly bookkeeping routine can make it easier to understand how your vacation rental is performing, prepare information for your accountant, and keep the documentation needed for Costa Rican accounting and tax purposes.
Your Airbnb payout is not necessarily your income
One of the most common bookkeeping mistakes a host can make is recording only the amount deposited into the bank account.

The exact components can differ from reservation to reservation, so the Airbnb earnings report should be reconciled to the actual deposits received.
What Airbnb income should you track?

That means keeping a receipt or entering an expense in a spreadsheet does not, by itself, determine its tax treatment.
Keep the supporting documents
For every significant property expense, develop the habit of keeping the related invoice, electronic tax document, contract, or other appropriate supporting record.

You do not need to wait until tax season to organize everything.
At the end of each month, download your Airbnb earnings report, record your gross rental activity and Airbnb-related fees separately, enter expenses supported by your invoices and records, and reconcile the Airbnb payouts against the deposits appearing in your bank account.
Then review the results.
How much did the property earn? What were the largest expenses? Did operating costs increase? Did every Airbnb payout reach the bank? Are any invoices or records missing?
That monthly review turns bookkeeping into more than a compliance exercise. It gives you information you can actually use to manage your vacation-rental business.
